Background to The Oak Centre:
- The Oak Centre (Centre), having been built and fully funded by the Dunboyne Church of Ireland Union of Parishes (Dunboyne Union), opened its doors in 2015. It is a facility that serves the needs of the Dunboyne Union and the wider community.
- Conveniently located just off the main street in the bustling village of Dunboyne, we provide top class facilities and rooms for functions and events of all sorts.
- Our main hall features a moveable stage and can accommodate up to 200 people, while our various meeting rooms are ideal for smaller gatherings such as meetings, classes or clubs. We also have a fully equipped kitchen, and coffee dock located at reception, which can handle all catering needs.
- The role of Oak Centre Co-ordinator is crucial to the smooth running of the Centre and requires a reliable, organised, people-focussed person, who enjoys regular interactions with the parish and wider community.
Reports to:
Summary of responsibilities:
- Manage the bookings diary; promote the Centre and actively contribute to the future development of the Centre.
- Direct, organize, and train all staff including caretaker, contract cleaners and occasionally casual staff for events.
- Ensure the premises is maintained to a high standard.
- To provide some administrative support to the Rector of the parish.
- Ensure that all requirements relating to Environmental Health, Health & Safety, Safeguarding Trust and other legal requirements are complied with.
- Ensure that the usage of the Centre is in line with the objectives of the Dunboyne Union, which is a Registered Charity.
Skills Required:
- Reliable, organised, people-focussed person, who enjoys regular interactions with the parish and wider community.
- Confident and resilient
- Good at problem solving and able for occasional difficult conversations.
- Sound working knowledge of MS Word and Excel, Gmail, Google Calendar and Social Media.
Hours of work:
- The standard workday consists of 3 hours from 9.30am to 12.30pm, Monday to Friday, and flexibility in hours to meet hirers/licensees needs.
- A guaranteed minimum of 15 hours per week. These hours will include time spent on site, meeting and greeting hirers and supervising staff. It will also include time spent off-site answering phone calls, emails and maintaining the bookings diary.
- Additional hours may be required (and will be paid as per the rates below) at periods of high activity or when additional meetings with hirers and potential hirers outside of the Standard working day are required.
- Some events will also take place on Saturdays. Such events are likely to require visits to the Centre by the Co-ordinator.
Pay:
- Minimum weekly pay is 15 hours @ €13 per hour.
- Additional hours up to a maximum of 8 hours per week will be paid at the basic rate.
- Annual leave will be calculated at 8% of annual hours worked in line with method 3 of the Organisation of Working Time Act 1997. It is the responsibility of the Co-ordinator to arrange cover for any days which are taken during term time. This will be done in consultation with the Management Committee.
- Annual leave will not be affected by other types of statutory leave. Time spent on maternity leave, paternity leave, parental leave, adoptive leave, force majeure leave and the first 13 weeks of carer’s leave is treated as though the employee has been in employment.
- Sick Leave will be limited to 3 days per annum for 2023 and will rise in line with Statutory Sick Pay from 2024 onwards.
- As the Parish does not have an occupational pension scheme, access to a Standard Personal Retirement Savings Account (PRSA) will be facilitated.
Key duties:
Financial:
- Achieve revenue targets agreed with the Parish Treasurer and Management Committee.
- Identify additional revenue opportunities, where possible, and take appropriate action where necessary to affect this.
- Manage staff and overhead costs to an optimum financial level within agreed budgets.
Maintenance and cleaning:
- Manage the maintenance of the Centre building and contents to ensure a good standard of maintenance is achieved.
- Manage cleaning staff to ensure that the Centre is presented in a condition to meet the reasonable expectations of Licensees.
- Ensure that the Centre, including the kitchen, meets statutory requirements and the requirements of licensing and environmental health departments.
Health & Safety and Safeguarding Trust:
- Carry out fire alarm testing as required and ensure that other requirements under Health and Safety legislation are complied with.
- Ensure that all requirements including documentation from Licensees are complied with and UpToDate.
Staff Management:
- Ensure that staff are trained to carry out the tasks required, and that training includes Health & Safety training, food hygiene and emergency procedures.
Licensee relations:
- Meet potential hirers/licensees of the halls, discuss requirements and agree terms of hire.
- Maintain the bookings diary in Google Calendar, ensuring that bookings are recorded and errors from missed or duplicated bookings are avoided.
- Liaise with the Parish Treasurer to ensure that booking fees are invoiced and collected.
- Ensure that Licensees receive an appropriate greeting and assistance on arrival for their event.
- Manage bookings taking place outside of standard hours, including catering requirements and equipment required by Licensees (e.g. display equipment, stage lighting and PA equipment).
- Liaise with the Management Committee and staff to ensure that Licensee requirements and expectations are communicated and satisfied.
Promotion of the Centre and website maintenance:
- Work with the Management Committee to promote the Centre within the local Dunboyne area and beyond.
- Contribute ideas for the improvement of the facilities and future development of the Centre.
- Ensure information and details on the Centre website https://theoakcentre.com/ are correct.
Administrative and Management reporting:
- Work with the Parish Treasurer to carry out such accounting and administrative tasks as are required by the Parish Treasurer (cash controls, invoicing etc.).
- Submit a report on the activities of the Centre to Management Committee meetings.
